What is a computer?

A computer is a hardware device for processing, storing, and displaying information. Examples of computers include laptop computers and desktop computers.

What is a computer program?

Computers use programs (also known as software or systems) of ordered sequences of instructions to perform jobs.

Computer programs can have:

  • interactive jobs that start when you sign on to the system and ends when you sign off the system. During the job, you interact with the program. You enter requests and the program acts on each request. Examples include web browsers or document progressing programs/software.
  • batch jobs that consists of a predefined group of processing actions that require little or no interaction between you and the program. When you submit the batch job, the job enters a job queue where it waits until the program is ready to process the job. Examples include printing program/software.

Computer programs can be either:

  • system programs that supports the computer hardware to run. System programs can be for the operating system, language processor or device drivers.
  • application programs that perform special functions on the computer hardware. Application programs can be for a general purpose or customised or utility.

What is a web browser?

An application program that allows you to access, search, view and edit information on the World Wide Web, when you have access to the Internet, is called a web browser (like Mozilla's Firefox Google's Chrome, Microsoft's Edge).

The World Wide Web (WWW), often called the Web, is a system of interconnected information that you can access using the Internet. Whilst, the Internet is a means of connecting a computer to any other computer anywhere in the world.

Information on the World Wide Web can be accessed through a URL (Uniform Resource Locator). This is the web address of the information, like https://www.example.com./, that tells your web browser where to go. Key part's of a URL's structure includes:

The url is the full https://www.engagementforchange.com.au. Whilst the scheme is the https://, and the domain name is the www.engagementforchange.com.au

  • Scheme, which indicates the what method (otherwise known as a protocol) that the browser must use to request the information. Usually for websites the protocol is HTTPS or HTTP.
  • Domain Name, which is the human readable web address of the IP (Internet Protocol) address where the information is stored.

What is a website?

A website is a collection of information that is displayed as content on webpages. You can access a website searching its URL through a web browser, which is an application program on a computer device. Website information can be composed through:

  • HTML (Hypertext Markup Language): a language that tells the web browsers how to display a webpage's content, such as text, pictures, and links, including tthe content's structure and layout using tags and attributes.
  • CSS (Cascading Style Sheets): a language which controls the visual presentation of the page, including colors, fonts, and layout.
  • JavaScript: a language which adds functionality and interactivity to a page, such as form validation, dynamic content updates, and event handling.

What is a contact?

A contact is an individual, group or organisation that has interacted with you, and provided you with their contact information, such as their name to location or preferred communication methods.

What relationships do you have with contacts?

Contact relationships can be clients or customers or stakeholders with varying support levels, from a contact that has:

  • awareness of what you're doing and shown initial interest (lead)
  • been assessed as having alignment and are passively observing what you do through subscribing (prospect)
  • have endorsed what you do through proactively using their time to complete an action (supporter)
  • actively contributed to the work that you're doing (team member)
  • taking on responsibility in the space by leading on pieces of work (leader)
  • actively worked to grow the movement surrounding the work your doing, and has ownership in the work's mission (organiser)

These contact relationships definitions are also applicable for customer, client and vendor relationships as supporters who endorse the work that you're doing through a single transaction, actively contribute to the work you're doing through multiple transactions or taking on responsibility in the space by actively providing feedback and collaborating.

What is a contact relationship management system?

A contact relationship management system (CRM) allows you to effectively and respectively manage your relationship with different contacts without needing extensive technical knowledge.

Examples of digital contact relationship management systems (CRM) include NationBuilder, FluentCRM and ActionNetwork.

CRM can also stand for customer relationship management and client relationship management system.

Why do I a contact relationship management system?

A contact relationship management system allows you tailor your communication to your contacts depending on the nature and the level of your relationship with them.

This is to ensure that a contact that is an advocate of what you do, and regularly volunteers and contributes, shouldn't get the same communication as someone that is new to what the organisation does. There should be different communication for contact for media releases or someone that donates etc.

The communication, and asks of these contacts should be different depending on the nature and level of relationship.

What is a contact relationship management system?

A contact relationship management system (CRM) allows you to effectively and respectively manage your relationship with different contacts without needing extensive technical knowledge.

How does a contact relationship management system allow you to manage relationships?

At their core contact relationship management systems (CRMs) will capture basic information about a contact, including their name, location and communication preferences, and allow you to communicate with contacts. However, the way that the nature and activities of the relationship are captured depends on the contact relationship management systems (CRM).

Examples are that some contact relationship management systems (CRM) allow the capture whether the communicate has been opened with or interacted with, allow you flexibility with grouping like contacts or can capture activities like event registration, donation, petition, letter writing communication activities.

Why does it matter how relationships are managed?

In 2025, the state of Charities annual report1 outlined that:

  • there was over 18.9 billion dollars donated to the over 52,000 charities, with approximately 40% of the total donations and bequests going to just 30 charities.
  • 9.5 million people engaged in either formal or informal volunteering, at a rate of 2.4 volunteers for every employee.
  • more than half (52.1%) of all charities had no paid staff, with extra small charities the most dependent on volunteers, nearly 90% had no paid staff

With the volume of organisations and groups available, to make yours the one that people want to contribute to, the way that you communicate with people in way that is appropriate and respectful of the relationship that you have and level of support that they provide is essential for people to understand what is happening in the organising and motivating their involvement.

You need a contact relationship management system (CRM) that allows you to effectively and respectively manage your relationship with different contacts without needing extensive technical knowledge.

What contact relationship management system is applicable?

Contact relationship management systems (CRM) have different flexibility in terms of the ways and ease in which your relationship with a contact can be managed. This is a result of different contact relationship management systems (CRM) being originally built for a specific types of relationships e.g. customer, donor, supporters.

This means you need to evaluate your needs surrounding:

  • What types of relationship does your organisation have with contacts?
  • What levels of support do these relationships hold?
  • What is relevant information about those relationships needs to be documented to ensure a shared team understanding of the relationship?

When your requirements surrounding what is suitable is complete, you'll be able to compare which contact relationship management systems (CRM) are best able to fulfil them.

What contact relationship management system is suitable?

Maintenance considerations are the number one item when deciding which contact relationship management system (CRM) is applicable for you. This includes evaluating, after the initial set up, how many people are going to:

  • Review and understand the different attributes and segments of contacts
  • Create appropriate and respectful communication with the contacts
  • Ensure that the relationship with contacts remains warm

After determining this, and thinking about the complexities in onboarding new people, its important to consider the technical skills of people and choosing a system that is most applicable for them to fulfil effective maintenance of relationships with contacts through the contact relationship management system (CRM).

If the flashiest system never gets maintained, then its as good as a simple one.

What contact relationship management system is affordable?

Contact relationship management systems (CRM) have different pricing structures that surround:

  • How many contacts are going to be in the system
  • How many users are going to be accessing the contact relationship management system
  • How many user roles and permission sets are needed
  • What functionality is required

After determining these requirements of the contact relationship management system (CRM), its easier to compare which contact relationship management system (CRM) is most affordable in terms of both cost, time and patience.
